Day in the Life
This role supports project and office operations by preparing and reconciling invoices, purchase orders, payroll/time entry, shop work orders, and maintaining accurate data in systems such as JDE and OnBase while coordinating closely with Project Managers, accounting, shop teams, and vendors. It also manages employee administration, office supplies, meeting and training coordination, and provides day‑to‑day administrative support to both office and field teams.

Responsibilities

  • Prepare client invoices, requisitions, and purchase orders; match invoices to POs and support timely payment processing
  • Review monthly transaction details with the Project Manager and accounting partners for accuracy
  • Coordinate and input payroll and time-entry data, ensuring accuracy and deadlines are met
  • Process new hires, rehires, transfers, and layoffs, and maintain employee files and records
  • Enter and maintain data in systems such as JD Edwards (JDE) and OnBase, including vendor payments and purchase order receipting
  • Create and manage shop work orders and coordinate with shop teams to ensure proper coding and alignment with operational needs
  • Liaise with vendors regarding purchasing and invoice inquiries
  • Maintain office supplies, support meetings and training coordination, and provide general administrative support to office and field teams


Qualifications

  • Post-secondary education in Business Administration, Finance, Accounting, or a related field, or an equivalent combination of education and experience
  • Approximately 2 years of administrative experience, ideally including exposure to accounting, financial reporting, or project-based environments
  • Experience using JD Edwards (JDE) is required; familiarity with OnBase or HeavyJob is considered an asset
  • Previous experience in construction, infrastructure, or highway maintenance environments is an asset


Compensation Data
12-18 Month Contract position targeting $55,000 to $70,000
