Position Summary
Under the supervision of the Director of Community Services/City Clerk, the Clerk Co-ordinator will provide service to all Clerk’s Department customers, maintain both electronic and physical Municipal records, assist with clerical duties and train new staff on departmental software.
Duties
• Assist with all departmental clerical duties
• Answer general inquiries and direct as required
• Assist with the preparation of various departmental committee meetings, agendas, minutes, resolutions, etc. as directed
• Assist with the preparation of the Council package, typing by-laws, agreements, general correspondence, agendas, minutes, resolutions, etc. as directed
• Assist with all aspects of Laserfiche support and training and provide all in-house training
• Assist with maintaining all physical and electronic records
• Assist in organization of records management and co-ordinate destruction of records
• Assist with Freedom of Information files and claims against Municipality
• Assist with the administration, co-ordinating, planning, scheduling and attending all of the Committee of Adjustment hearings
• Assist with the processing of laneway closures and land sales
• Assist with preparing and maintaining Zoning & Deeming By-Law Files/Certificates
• Assist with the co-ordination and implementation of the Municipal Election process
• Perform other duties as assigned
Qualifications
• Two-year Community College Diploma in Office Administration
• Minimum one (1) year experience in general office work
• Knowledge of Civic Web Meeting Manager, GIS, Microsoft Office Suite, and Laserfiche
• Good oral and written communication skills required
• Proven ability to work effectively with others
• AMCTO designation considered an asset
