Job Summary:
Provide a welcoming environment for clients and donors connecting with the office, in person or over the phone. Support the operation of the organization through a variety of tasks.

Provide reception desk coverage, including answering phones and greeting walk-ins while directing them to the appropriate resources to meet their needs
Ensure materials, office supplies, postage and office volunteers (if required) are available for regular office functions and mass print/mailings
Copy materials for distribution as needed
Ensure that ingoing/outgoing mail is distributed in a timely manner
Processing call in and/or walk in donations and payments
Liaise with staff regarding any office closures
Create agendas and take minutes for staff and committee meetings as required
Administrative support to team as required
Perform other duties and responsibilities as assigned by the Management Team
Support the Education Program and Day Program by assisting with programs, community booths, festivals, presentations and be part of the walk planning and execution, and other fund development events
Other Requirements
Maintain knowledge of Alzheimer disease and related dementia
Convey a positive image of the Alzheimer Society in all external representation.
Engage in ongoing educational opportunities to maintain a current knowledge and policy requirements and other skills pertinent to the demands of the position.
Maintain compliance with the Chapter Standards, policies and procedures.
Due to the changing nature of work and the work to be done, other responsibilities and duties may be assigned.
Attend the annual general meeting and staff meetings, as requested.
Complete an annual self-audit of job mandate and performance with a report on status of existing program and recommendations for improvement.
May occasionally require travel through the Cochrane-Temiskaming Districts
May require occasional evening and weekend hours
Qualifications:
Completion of high School
Certificate and/or experience in administration support- may be willing to train
1 years of experience in a non-profit community support organization or similar role
Ability to relate in a manner that conforms to established policies, procedures and standards.
Ability to work independently and be accountable for follow up.
Possession of a valid Ontario driver's license and use of a vehicle.
Ability to clearly present information through the spoken and written word with proficiency in both official languages is preferred.
Physical Demands
These physical demands are representative of the physical requirements necessary for an employee to successfully perform the essential functions of this role. Reasonable accommodation can be made to enable people with disabilities to perform the role.
While performing the responsibilities of this job, the employee is required to speak and listen. The employee is often required to sit and use their fine motor skills, and their hands and fingers, to handle or feel. The incumbent will be required to perform some tasks that involve lifting of large objects, such as display boards and computer/audio visual equipment. The incumbent may be expected to work for long periods of time with few breaks. Vision abilities required by this job include close vision, and the ability to drive.
Work Environment
The incumbent will be provided with a reasonable place to work within an office environment. However, the incumbent will also be required to carry out work activities outside of an office environment and may require the use of a vehicle. The incumbent will be required to drive to and from events and activities that may occur throughout the Cochrane and Temiskaming Districts. The incumbent may also be expected to work outside of regular business hours, occasionally being required to work evenings and weekends. There is flexibility in work hours and all reasonable requests for work arrangements will be considered. This position will work 30 hours per week.
Direct Reports
This position does not require any other staff member to report directly to the incumbent.
