Job Summary:
The Provincial Offences Coordinator plays an integral role within the Corporate Services Department. The incumbent is responsible to schedule, liaise, and work in collaboration with judiciary, provincial enforcement agencies, the Ministry of Attorney General, and other relevant parties to help ensure the efficient operation of Court conduct and proceedings. Further, this position must provide important leadership with regards to planning and organizing the Provincial Offences Administration office while maintaining a high regard for the integrity of the administration of justice.
Position Responsibilities:
- Monitors and maintains provincial offences fine information within the ICON (Integrated Courts Offences Network) software system.
- Manages scheduling for POA trials and court dates.
- Records and updates collection database of activities, payments received, judgments, extensions, re-openings, and debtor information received from the ICON daily reports.
- Oversees the timely production of collection letters in accordance with municipal policies and procedures.
- Prepares necessary dockets ensuring they are complete and accurate.
- Must promptly distribute dockets to all appropriate parties in preparation for court proceedings.
- Prepares and issues all documents required to proceed to civil enforcement (i.e.: Certificate of Default, Writs of Execution, Notice of Examination, Notice of Garnishments)—Must speak to these matters through the Ontario Court of Justice.
- Provide important team leadership to help support the efficient operation of the POA department.
- Reviews collections from outside agency listings, monitors recoveries and progress of accounts with each agency.
- Review and maintain financial reports and statistical records in spreadsheet and database applications.
- Reviews statistical reports monthly on default account activities.
- Assists Treasurer with review of POA financials and budget.
- Receives and responds to telephone and front counter inquiries regarding POA fines, payment alternatives, trial options and procedures, and payment status as required.
- Responsible to maintain court records.
- Liaison with Ministry of the Attorney-General, Justice of the Peace, Regional Senior Justice, and other POA offices to ensure proper functioning of POA office, efficient conduct of Court days, scheduling of special trials and extra Court dates.
- Must act as Court Clerk when required
- Acts as backup to all POA positions when needed.
- Strict adherence to all legislative and procedural requirements.
Qualifications and Requirements:
- Successful completion of University Degree or College Diploma in Legal Administration, Law Clerk, Business Administration, or related field.
- A member of the Institute of Law Clerks of Ontario is considered an asset.
- Three(3) years of experience in court room proceedings, law office or other relevant experience.
- Bilingualism is considered an asset
- Must possess a valid "G" Drivers Licence and have the ability to travel to Kirkland Lake occasionally for court proceedings.
