Job Type: Full-time or Part-time (based on availability and fit)



About the Role



We’re hiring a reliable, organized Mortgage Administrative Assistant to support a busy mortgage office. This is a client-facing coordination role where you’ll help keep mortgage files moving by managing communications, organizing documents, scheduling appointments, and supporting the team with day-to-day operations.


If you’re detail-oriented, professional on the phone and email, and enjoy keeping things organized and on track, you’ll do well in this position.





Key Responsibilities



  • Answer incoming phone calls and respond to general inquiries
  • Book and confirm client appointments and send reminders
  • Monitor a shared email inbox and route messages to the appropriate team member
  • Follow up with clients for outstanding documents and information
  • Review, upload, and organize documents in digital file systems
  • Prepare and send e-signature packages and track completion
  • Provide general administrative support to the mortgage team
  • Support basic marketing administration such as scheduling social media posts and flagging inbound messages/leads






Qualifications & Skills



  • Strong communication skills (written and verbal)
  • Excellent organization, time management, and attention to detail
  • Comfortable handling multiple tasks and deadlines
  • Confident using computers, email, and cloud-based document systems (Google Drive, PDFs, etc.)
  • Professional, friendly, and client-service focused



Nice to Have (not required):


  • Experience in mortgages, banking, real estate, legal admin, or finance
  • Experience with CRM tools, task tracking systems, or mortgage software
