The Corporation of the Township of Fauquier-Strickland is currently accepting applications for an Administrative Clerk.
Reporting to the Director of Municipal Services, this position provides full administrative support to the Administration and Finance departments. The Administrative Clerk will be a key part of our team as we deliver programs and services to support the needs of residents and businesses in the Township of Fauquier-Strickland.
Job Title: Administrative Clerk
Status: Permanent: Part-Time
Hours of work: 21 hours/week - 3 days, 7 hours per day
Rate of Pay: $27 to $32 per hours, Benefits: Defined Benefit Plan (OMERS) - option to enrol
Key Responsibilities
Administrative and Customer Support: Provide front-line customer service by handling calls, inquiries, and correspondence with professionalism; manage mail distribution, translation services, and maintain confidentiality in compliance with the Municipal Freedom of Information and Protection of Privacy Act.
Council and Records Administration: Support Council and Committee functions by preparing agendas, minutes, and by-laws; coordinate meetings; and ensure accurate records management through proper filing, scanning, and archiving of documents.
Permits, Licensing, and Facility Coordination: Process various municipal permits and lottery licenses; coordinate rentals of Township facilities; maintain municipal website and social media updates; and assist with advertising, public communications, and office management tasks.
Financial and Cemetery Administration: Assist with invoices, billing, and reconciliations; support tax and utility processes; and oversee cemetery administration, including plot sales, records maintenance, and coordination with funeral directors and Public Works staff.
Key Qualifications
Diploma in Office Administration or Business, or equivalent experience
Demonstrated competencies in providing customer service, communicating effectively, working with diverse populations and acting with discretion and confidentiality.
Strong oral and written communication skills in both English and French, ability to prepare written correspondence, including letters, emails, memorandums, meeting agendas and minutes.
Solid keyboarding and computer skills, including working knowledge and experience with Microsoft Office programs.
Ability to complete tasks and meet timelines with minimal day-to-day supervision and attention to details.
